What We Do Our central office administrative staff provides crucial support functions which allows our property managers to focus their attention on on-site matters such as maintenance and service. BOOKKEEPING/ACCOUNTING All bookkeeping, accounting and other financial functions are directly supervised by a full-time Controller. The accounting functions include but are not limited to:
  • rent/assessment rolls;
  • income and expense summaries;
  • general ledgers;
  • accounts receivable/payable records;
  • monthly/annual financial reports;
  • bank statement reconciliation; and
  • reserve allocation reports.
PLANNING/BUDGETING All long-range plans and recommendations are developed under the supervision of a full-time certified public accountant (CPA) and are based upon the owner's objectives and expectations. Management planning, budgeting and tracking of all income and expenses are accomplished jointly by an on-site manager (when appropriate) and/or an experienced property supervisor and reviewed by a certified public accountant (CPA). Our general property management services are:
  • annual operating budget;
  • bids/quotes for improvements/services;
  • approval/recommendation on operating expenditures;
  • annual inspections for long-range planning needs;
  • recommend necessary cash reserves/escrows;
  • procure hazard/other insurance coverage as necessary;
  • provide/assure usage of maintenance forms and records;
  • operating policies/procedures;
  • analyze/recommend adjustments to operating assessments;
  • staff representation for after-hours owner/management meetings; and
  • perform other management activities as directed.
PROPERTY MANAGER DUTIES
  • prepares proposed budgets;
  • conducts quarterly inspections and records results;
  • conducts weekly operating inspections;
  • maintains equipment and supply order forms;
  • maintains a purchase order system;
  • obtains competitive bids for capital improvements approved by the property owners;
  • assures prompt response to all maintenance calls/complaints;
  • maintains a preventative maintenance schedule; and
  • coordinates performance of services.
MAINTENANCE TECHNICIAN DUTIES
  • responds to all maintenance calls/complaints, records disposition on numbered work orders, returns actions copy report to property supervisor;
  • repairs covered by the property management agreement within his/her skill level;
  • performs preventative maintenance: caulking; gutter cleaning; changing filters in common HVAC; oiling motors; exterior window washing; exterior painting leveling and servicing AC compressors;
  • grounds maintenance; general clean-up; fertilization and watering;
  • erosion repairs; spraying of trees and shrubs; raking and mulching; and janitorial services.
